Minutes of Pre-Bid Meeting - Annual Maintenance Contract for Cleaning and Maintenance of flats at RBI Officers’ Quarters, Cunningham Road, Bengaluru

The ‘Pre-Bid Meeting’ for the captioned works was scheduled at 12.00 PM on February 18, 2026 at Estate department, 2nd Floor, Reserve Bank of India, Bengaluru. No bidders were attended the same. However, M/s Swastik Electrotech Pvt. Ltd. raised the following queries / issues through mail for the pre-bid meeting. The response/ clarifications given by the Bank with respect to each of these queries / issues are as follows:

1	Page No. 35 - List of approved materials mentioned in this tender but actual requirement of quantity not mentioned in this tender please clarify	The list and type of materials provided are indicative in nature. Quantity shall be as per the Schedule of Quantity.
2	Point No.16 a) of page no. 38- Please give the quantity of kitchen chimney.	The number of flats is indicated in the Schedule of Quantities. All flats are equipped with kitchen chimneys.
3	Housekeeping materials supply by RBI or Contractor please clarify	The Bank shall not provide housekeeping materials. The Contractor shall arrange for all such materials.
4	Please provide us to requirement of quantity of cleaning materials & cleaning area.	As per Point No. 26, Page No. 20: “The intending bidders are advised to visit the respective premises of the Bank, after obtaining prior approval from the Bank, and acquaint themselves with the site conditions before submitting the Tender.” Hence, bidders are required to visit the site and assess the quantity of cleaning materials and cleaning area independently.
5	Please clarify labour requirement of 6 days week or 7 days week	Each laborer shall work for six (6) days per week. However, laborer’s must be available on-site on a rotational basis for seven (7) days
6	The Contract is for a period 1 year + renewed for 2 year becomes applicable after 12 months of regular service. In this regard, we request to you kindly approve reimbursement of gratuity on actual disbursement basis, subject to submission of documentary proof.	As per Point No. 17, Page No. 34: “The Contractor is responsible for payment of monthly salary, including leave salary, bonus, gratuity, etc., to the personnel as applicable.” The Contractor shall include all such costs in the quoted amount.
7	It is stated that, all worker shall be provided medical insurance is to be included in the quoted rated or will be reimbursed separately	Medical insurance for all workers shall be included in the quoted rate and will not be reimbursed separately.

Note: Above amendments / clarifications are issued for information to all intending bidders. Minutes of the pre-bid meeting shall form part of tender. All other parts of the tender document continue to remain unaltered. Submission of tenders shall be construed to be in conformity to the bid document and amendments/clarifications.
